Xero Tracking Categories Missing From SumUp Sales? Check Which Integration You Have

Tracking categories go missing from SumUp sales in Xero for one main reason: SumUp has two separate Xero integrations. Only the SumUp POS integration lists tracking categories in what it shares. SumUp's own Payments and POS integration maps sales to accounts instead. Here is how to tell which one you have and what each can do.

Checked on 24 October 2026. Integration details come from the Xero App Store listings for each SumUp app. Xero's limits come from Lightspeed's Xero documentation and Xero's ideas forum. We could not load Xero's or SumUp's help centres to check their steps. We have not tested these integrations ourselves.

Xero's limit: two active tracking categories

Lightspeed's Xero help page states that "Xero will only allow you to have two active tracking categories at a time". Link My Books puts the limit at up to 100 options in each, and says you generally archive one category to use a third. A Xero ideas post asking for more has over 300 votes. On 1 September 2026, Xero said it was "exploring" the request but could not commit to a date.

If you already use two categories for something else, such as region and department, there is no room for a third. Decide which two matter most before you map your till.

Fix it on SumUp POS (The Good Till)

  1. Create the tracking categories in Xero first. The listing says they flow from Xero to SumUp POS. A category only in your till cannot reach Xero.
  2. Check both are active. An archived category will not be offered.
  3. Finish the mappings in SumUp POS. The listing says setup ends with on-screen mapping steps after you connect.
  4. Close the register, or send the closure manually. Data only moves when a register closure is sent.
  5. Still missing? The listing gives SumUp POS support as pos.support.uk.ie@sumup.com. Send them your Xero category names and a register closure date.

On SumUp Payments and POS instead?

Its listing does not mention tracking categories. It does offer two things that cover much of the same ground:

  • Sync by item category or by item. Each invoice then shows sales split by product category or product.
  • Map product categories to accounts. This happens in the SumUp dashboard. Sales from each category then land in their own income account.

If you need sales split by site or till, ask SumUp whether this integration can do it before you change your chart of accounts.

Reporting on tracking categories

Once sales carry tracking, Xero's Profit and Loss report can be split by tracking category. Link My Books describes this for splitting results by sales channel, brand or region.

Quick answers

  • How many tracking categories can you have in Xero? Two active at a time, according to Lightspeed's Xero documentation and Xero's own ideas forum. Users report up to 100 options in each.
  • Can I link SumUp to Xero? Yes. The Xero App Store lists SumUp Payments and POS and SumUp POS. In 2023, one AccountingWEB poster said SumUp told her only the POS would connect. The current Payments and POS listing says payments and POS transactions both sync.
  • Why are my tracking categories not showing in SumUp POS? They come from Xero. Check they exist and are active in Xero, then redo the mapping step.
  • How do I report on tracking categories? Split Xero's Profit and Loss report by tracking category.
  • My VAT looks wrong too. See our guide to Square and SumUp VAT mismatches in Xero.
